About the opportunity

SWCA Environmental Consultants is seeking a self-motivated Office Manager to support our busy, fast-paced office. The successful Office Manager will contribute the Pasadena, CA office management efficiencies. This job requires strong time management skills and a desire to take ownership of the position.

 

Our Pasadena office offers a unique work environment and specializes in Natural Resources, Cultural Resources, and Permitting.

This is a regular, full-time position. What you will accomplish

Under the general direction of the Director of the office, the incumbent will provide supervision and direction for administrative staff, office efficiencies which include office supplies, vendor management, and over office process improvement.

  • Lead the administrative functions of the office to include creating improved procedures and implement efficiencies that assure tasks are completed in the most timely and effective manner.
  • Work with corporate IT to support telecommuting technologies in support of virtual office functions.
  • Works closely with the other CA regional offices; i.e.: San Luis Obispo, Half Moon Bay, San Francisco, and Pacific Island region in support of CALPAC regional business needs.
  • Manage monthly office expense reporting.
  • Welcome new employees through Onboarding system.
  • Maintain and coordinate asset management, including company owned and rented vehicles, field equipment, and computers and peripherals.
  • You will have the responsibility to oversee the office and communicate with landlord and service providers (e.g., janitorial, parking, etc.) to ensure office space meets the working environment standards.
  • Coordinate and schedule meetings and events for the office, arrange travel for senior management, facilitate scheduling of shared spaces.
  • Collaborate regularly with SWCA’s corporate office (HR, Payroll, IT, Marketing, Safety, and Accounting) in Phoenix AZ to ensure the accuracy and timely processing of all business transactions.
  • Administer health and safety compliance tasks, project records management and file organization.

 

Experience and qualifications for success

  • Minimum of five (5) years previous experience in a similar role.
  • Demonstrated experience using independent decision making and business judgement.
  • Bachelor’s degree or Associates degree or college coursework in business, administration, office technology, or a related business field is preferred.
  • Strong computer skills with demonstrated proficiency with Microsoft Office applications including Word, Excel, PowerPoint and Outlook, Deltek Vision.
  • Excellent phone, communication, and interpersonal skills with the ability to represent company in a professional manner.
  • Ability to work independently, be proactive, solve practical problems, and take initiative.
  • Must be self-motivated to accomplish assigned responsibilities with minimal supervision and lead team members toward accomplishing common goals.
