  • About the opportunity

    SWCA Environmental Consultants (SWCA) is seeking a full-time Desktop Publishing and Document Accessibility Specialist to join the Technical Publications team and support offices throughout the company. Preferred location would be the Tucson, Phoenix, or Salt Lake City office, but remote work is a consideration.

     

     

    The candidate will be responsible for formatting and final layout of environmental impact statements, archaeological reports, biological reports, and other environmental analyses ranging from multi-chapter, multi-volume documents to simple memoranda; most of SWCA’s technical publications work is done in Microsoft Office and Adobe environments.  Also, you will assist in maintaining company templates to support SWCA’s brand, and will provide troubleshooting for users of MS Word on both desktop and online versions, specifically SharePoint and OneDrive.

     

    This is a full-time, hourly position (40 hours per week during business hours), with occasional evening, weekend, and overtime work likely when deadlines demand.

    What you will accomplish

    • Format documents in MS Word (e.g., manage and import templates, modify templated covers with photographs, manipulate headers and footers, work with section breaks and page breaks, format/redesign tables, insert graphics, apply styles from templates, and create linked tables of contents).
    • Help Technical Publications team in maintaining company templates to support SWCA’s brand and ensuring conformance with SWCA’s templates, style guide, formatting procedures, and quality assurance/quality control processes.
    • Provide troubleshooting for users of MS Word on both desktop and online versions, specifically SharePoint and OneDrive.
    • Assist with cloud collaboration solutions for document creation and management.
    • Occasionally format documents in non-SWCA templates or Adobe InDesign.
    • Combine and manipulate PDFs in Adobe Acrobat (e.g., create PDFs, merge PDFs, insert and delete PDF pages, and add bookmarks and hyperlinks for navigability).
    • Ensure Section 508 compliance in MS Word and Adobe Acrobat for electronic documents.
    • Create indexes for long documents.
    • Stay up to date on software functionality improvements, and communicate those to other users.
    • In coordination with project managers, authors, and the Technical Publications team, take initiative and resolve problems to be as accurate and efficient as possible.
    • Coordinate with SWCA staff, clients, and vendors for out-of-house printing.
    • Provide acute attention to detail while also understanding appropriate level of effort. Requires excellent listening and speaking skills to communicate with project managers and other staff, and ability to understand and prioritize tasks in the context of SWCA’s overall work and tight deadlines.
    • Have exceptional organizational skills and ability to balance ever-changing priorities in a fast-paced environment.

     

    Experience and qualifications for success

    • Bachelor’s degree in graphic design, journalism, communications, English, or related field. Related certifications (e.g., MS Office Productivity Solutions) or demonstrated work experience may be substituted. Minimum 2 to 3 years of full-time, professional experience in desktop publishing or document formatting; environmental sciences industry preferred.
    • Demonstrated skills in MS Word 2016, and proficiency with MS Office 365, especially SharePoint. Proficiency with the Adobe Creative Suite, especially Acrobat and InDesign. Experience with MS Excel and PowerPoint a plus.
    • Demonstrated experience formatting large documents such as environmental impact statements, environmental assessments, or other multi-chapter documents.
    • Demonstrated experience with high-level Section 508 compliance in MS Word and Adobe Acrobat.Exceptional skills in MS Word 2016, and proficiency with MS Office 365, especially SharePoint.
    • Proficiency with the Adobe Creative Suite, especially Acrobat and InDesign. Experience with MS Excel and PowerPoint a plus.
    • Technical report layout with text and graphics.
    • Visual communications layout (e.g., posters, handouts, signage, and postcards).
    • Document accessibility compliance with Section 508 of the Federal Rehabilitation Act in MS Word and Adobe Acrobat for large, multi-volume documents.
    • Adept in a PC environment.
    • You will be expected to stay current as technology evolves.
