  • About the opportunity

    SWCA Environmental Consultants (SWCA) is seeking a full-time Document Formatting and Accessibility Specialist (Section 508 compliance) to join the Technical Publications team and support offices throughout the company.

     

    Preferred location would be the Tucson, Phoenix, or Salt Lake City offices. However, the candidate could sit in any of our 29 offices. Remote work will be considered.

    The candidate will be responsible for formatting and final layout in Microsft Word of environmental impact statements and other environmental analyses ranging from multi-chapter, multi-volume documents to simple memoranda.  

     

    This is a full-time, hourly position (40 hours per week during business hours), with occasional evening, weekend, and overtime work likely when deadlines demand.

    What you will accomplish

    • Ensure Section 508 compliance in MS Word and Adobe Acrobat for electronic documents.
    • Format documents in MS Word (e.g., manage and import templates, modify templated covers with photographs, manipulate headers and footers, work with section breaks and page breaks, format/redesign tables, insert graphics, apply styles from templates, and create linked tables of contents).
    • Help Technical Publications team maintain company templates to support SWCA’s brand and ensure conformance with SWCA’s templates, style guide, formatting procedures, and quality assurance/quality control processes.
    • Provide troubleshooting for users of MS Word on both desktop and online versions, specifically SharePoint and OneDrive.
    • Combine and manipulate PDFs in Adobe Acrobat (e.g., insert and delete PDF pages, and add bookmarks and hyperlinks for navigability).
    • Coordinate with project managers, authors, and the Technical Publications team to solve problems and be as accurate and efficient as possible.

    Experience and qualifications for success

    • Degree in graphic design, journalism, communications, English, or related field. Related certifications (e.g., MS Office Productivity Solutions) or demonstrated work experience may be substituted. Minimum 2 to 3 years of full-time, professional experience in desktop publishing or document formatting; environmental sciences industry preferred.
    • Document accessibility compliance with Section 508 of the Federal Rehabilitation Act in MS Word and Adobe Acrobat for large, multi-volume documents.
    • Demonstrated skills in MS Word 2016, and proficiency with MS Office 365, especially SharePoint.
    • Proficiency with the Adobe Creative Suite, especially InDesign, preferred. Experience with MS Excel and PowerPoint a plus.
    • Technical report layout with text and graphics.
    • Visual communications layout (e.g., posters, handouts, signage, and postcards).
    • Acute attention to detail while also understanding appropriate level of effort.
    • Excellent listening and speaking skills to communicate with project managers and other staff.
    • Ability to understand and prioritize tasks in the context of SWCA’s overall work and tight deadlines.
    • Exceptional organizational skills and ability to balance ever-changing priorities in a fast-paced environment.
